Almost every custom embroidery company promises you a proof before production. The catch is that the word covers two very different things. For most shops, a proof is a digital rendering of your logo pasted onto a product photo. At Embroidery Inc, a proof means we actually embroider your logo on a real test hat, photograph the stitched result, and send it to you within 24 to 48 hours so you can approve it or request changes before we make anything. Those are not the same product, and if you have ever received embroidered gear that looked nothing like the preview, you already know why.
What a digital mockup actually is
A digital mockup is a graphic. The shop takes your logo file, sizes it, and overlays it on a photo of the garment. Better versions simulate stitch direction and thread texture. It costs the shop nothing to produce, which is why it is usually free and usually instant.
Some shops go a step further. Thread Logic, to give an honest example, sews your logo onto a piece of material and emails you a photo of that sew-out within 3 to 4 business days. That is a real stitched sample, and it is much better than a rendering. It is still not your logo on the actual product you ordered.
What mockups miss
- Thread color vs screen color. Polyester thread reflects light. A navy that looks right on your monitor can read almost black in stitches, and metallic tones shift the most.
- Small text. Lettering under about a quarter inch tends to close up when it is actually sewn. A rendering will show it perfectly crisp anyway.
- Density and fabric pull. A logo that sits flat in a graphic can pucker a pique polo or distort on stretchy fabric. You only see that in real stitches.
- Curved surfaces. A hat front is not flat. Designs that look centered in a flat preview can bow or crowd the seam once they are on a curved crown.
- 3D puff behavior. Puff embroidery rounds edges and swallows fine detail. No rendering shows that honestly. Our puff embroidery guide covers what translates and what does not.
What a real sewn proof is
Here is our process at Embroidery Inc. You upload your logo when you order. Our digitizer converts it to a stitch file by hand, then we run that file on an actual test hat, the same way your full order will run. You get photos of the real embroidered result within 24 to 48 hours. If the small text is closing up or the navy reads too dark, we fix the file and sew it again. You approve the real thing, not a picture of a guess, and your order ships 3 to 5 business days after approval. All of it is stitched in the USA at our Woodland, California shop.

What this costs, honestly
Free digital proofs are free because they are cheap to make. Our Pro Digitizing and proof service is $30 because a digitizer builds your stitch file by hand and we physically sew it before production. That fee is waived on orders of 12 or more items, and it is waived on every reorder since your file is already dialed in. On a 12 hat team order you pay nothing extra and still get the real proof.
When a digital mockup is enough
Fair is fair. If you are ordering plain block text with no logo, reordering a design that has already run, or buying one budget piece where a surprise is survivable, a digital preview will usually do the job. The proof matters most the first time a logo runs, on hats especially, and any time the gear is going in front of customers or employees.

How long does a sewn proof take?

Can I request changes to the proof?
Yes. That is the point. If the text is too small or a color reads wrong, we adjust the stitch file and sew it again before production starts.
Do other companies sew a real proof?
A few sew samples on scrap material and send a photo. Sewing the proof on the actual product before production is rare, and it is the reason our process exists.
Why do digital mockups look better than the final embroidery?
Because a mockup is a graphic. It ignores thread sheen, stitch density, fabric pull, and the physics of small lettering. Real stitches obey physics.
Is the $30 digitizing fee worth it?
It includes hand digitizing plus the sewn proof, it is waived at 12 or more items and on all reorders, and it usually costs less than one ruined batch of hats.
